Where a new learning period has just commenced, you may want to view your data from the lens of the previous learning period. Read further to learn how.
⚠️ To access the 'Timetable rollover' area, you'll first need to have the appropriate permissions to access 'Settings'. If you can't locate the 'Settings' button from your Analytics landing page, you may need to get in touch with your school's Analytics administrator, or reach out to our team at help@intellischool.co.

🤔 What will I see differently when changed to 'Previous semester'?
🤔 What if we're currently 'between' semesters?
At the start and end of a given learning period, your database rollover activity may affect what you can view in cohort analytics. Given this, you may want to point your analytics to the previous semester's timetable so that you can carry on with data analysis unhindered the during timetable rollover period.
The 'Timetable rollover' feature allows schools to choose whether the current or previous semester is used to display students enrolled in particular classes/subjects.
⚠️ Changing this setting will only affect what is displayed when choosing a 'Class' or 'Subject' from the Cohort picker. You won't see altered data when choosing any other options (e.g. Year level, Campus, House) from the Cohort picker.
You'll find the 'Timetable rollover' area by clicking on the 'Settings' button from your Intellischool Analytics landing page - pictured below.
➡️ Modifying 'Timetable rollover' settings
⚠️ Changing this setting will affect what all users at your school see.
Once you've made your choice and clicked 'Save changes' in the above screenshot, you'll now see the following notifications when choosing a class or subject from the Cohort picker:
🤔 What will I see differently when changed to 'Previous semester'?
Let's walk through an example with these parameters:
- The 'current semester' is Semester 1, 2024
- The 'previous 'semester' is Semester 2, 2023
- We're taking a look at the class '09MAT'
(The below examples also apply when looking at a 'Subject' cohort instead of 'Class') - Students in the '09MAT' class were part of this class for both Semesters 1 and 2 2023
➡️ Cohort Indicators tab
With 'Previous semester' chosen, the 'Assessment Comparison' bar chart at the top of the Cohort Indicators tab for '09MAT' now shows only tasks and grades recorded for that specific class across the semesters where the class took place (Semesters 1 and 2 2023).
Other data on this tab - achievement and attendance - reflects an average for attendance and achievement across all areas of the school for the listed students, and is dependent on the timeframe selected in the top right-hand corner of the screen from the 'Semesters' drop-down menu.
➡️ Cohort Attendance tab
With 'Previous semester' chosen, the attendance data in this tab is now specific to '09MAT'. Depending on how many semesters your chosen subject or class spanned, you may see either one or two semesters' worth of attendance data here.
➡️ 'Former students' when viewing an individual learner
There are areas in the above views where clicking on an individual student's name will take you to their individual Learner view. Where your chosen student is no longer enrolled at the school - perhaps either a Year 12 student, or a student who has otherwise left the school - you'll see a note next to their name flagging that they're a 'former student', as pictured below.
🤔 What if we're currently 'between' semesters?
If the dates defined for your previous semester have already passed, but you haven't yet reached the dates defined for your upcoming semester, Intellischool Analytics will look for the nearest semester in which students are enrolled.
If your school has enrolled students in classes that are scheduled to start in the upcoming semester, we'll consider the upcoming semester to be the 'Current semester', regardless of the scheduled commencement date for the upcoming semester. If there are no students enrolled yet in subjects for the upcoming semester, the previous semester will be considered to be the 'Current semester'.
Let's look at an example, and let's consider the current date to be 1/7/24:
There aren't any students enrolled in any classes in the upcoming semester in the above example, and as a result, the time period '1/2/24 - 20/6/24' is considered to be the 'Current semester', even though its end date has already passed.
If at least one student is enrolled in a class associated with the upcoming semester, then we'd see the upcoming semester treated as the 'Current semester', even if its commencement date hasn't been reached yet.
